Headline prices are per user more often than not. Here is what a one-van business and a five-person outfit really end up paying.

The hardest part of pricing up trade software is that the number on the homepage is rarely the number on the invoice. The single biggest factor is whether a product charges per user or per business — and for anyone with a mate on the books, that difference compounds fast.

Per user versus per business

Most established job management platforms charge per user per month. At three people, a £30 per-user plan is £90 a month, or £1,080 a year. A flat per-business price does not move when you take someone on. Work out your real figure by multiplying the headline price by the number of people who need a login — including you.

What the main options cost right now

At the time of writing (October 2026): Tradify is around £34 per user per month on its UK Lite plan for one to three users; Powered Now starts around £28 a month for a sole trader and moves to roughly £32 per user on higher plans; GraftG is flat per business at £14 (Solo), £24 (Pro) or £34 (Team, up to five people). Larger field service platforms run well beyond all of these. Always check the vendor’s own pricing page — these move.

The costs that are easy to miss

Payment processing is charged on top almost everywhere, usually around 1.5% plus a fixed fee per card transaction. Add-ons such as AI receptionists, extra storage or certificate modules are commonly separate. Annual billing typically saves a month or two but locks you in. And the real cost of switching is the evening you spend moving your customer list.

What a sole trader should expect to pay

For one person, somewhere between £14 and £35 a month covers essentially every option worth considering. At that spread, price should not be the deciding factor — a £14 tool you abandon is more expensive than a £34 tool you use daily. Decide on whether you will actually keep using it.

The cheapest option is not free

How to judge it properly

Take the monthly price, multiply by the number of logins you need, add processing fees on your typical monthly card takings, then ask the honest question: will you still be opening this in three months? For a lot of one-van businesses the answer is what pushes them towards admin that runs in WhatsApp rather than in another app.
