How to book jobs in your WhatsApp diary

The Diary keeps your visits and jobs in one place, straight from WhatsApp. Book in plain English — "Book Mrs Jones in Tuesday 2pm, boiler service, 14 Oak St" — and GraftG works out the date and time (British style: 01/09 is the 1st of September), warns you if it clashes with something you already have on, and shows your week whenever you ask. You can also subscribe Google Calendar or Apple Calendar to your diary so bookings appear on your phone automatically.

Cancel one

Reply CANCEL BOOKING followed by its number from the last list (e.g. CANCEL BOOKING 2) — or the customer’s name.

Use the web calendar

app.graftg.co.uk/calendar shows the same diary as a month grid or day-by-day list. Tap a day to add a booking, tap a booking to edit it, mark it done, cancel it — or hit "Start job from this" to begin tracking the visit as a job (materials you text then attach to it).

Put it in your phone calendar

In Settings at app.graftg.co.uk there’s a private calendar link. Add it to Google Calendar (Settings → Add calendar → From URL) or tap "Add to Apple Calendar" — your bookings then show up in the calendar you already use.

Start the day briefed

On mornings when you have bookings, GraftG emails you the day’s list at 7am.

Get it as a picture

Reply DIARY PIC for your month as a branded calendar image, or DIARY PIC LIST for a big-print day list — handy stuck on the van dashboard.

Share visits with your crew

On the Team plan, reply ASSIGN BOOKING 2 TO Dave (numbers from your last DIARY list) or use the "Assigned to" dropdown on the web calendar. Your team member sees their visits when they text DIARY.

Let customers book you (Pro)

Reply BOOKING LINK for your own public booking page — customers pick a free slot (your diary decides what’s free), give their name, phone and the job address, and it lands straight in your diary with a WhatsApp heads-up to you. They get a link to cancel if plans change — the slot frees up automatically. Set working days, hours, slot length and notice in Settings.

FAQ

Can customers change or cancel their own booking?

Yes. Every booking made through your booking page comes with a private link in the customer’s confirmation email. From there they can move it to any slot you have free, or cancel it — no phone call, no back-and-forth. You get a WhatsApp either way, and a cancelled or moved slot opens up again automatically.

Do customers get reminded?

Yes — the evening before, anyone who booked online and left an email gets a reminder with the time, the address and the same link to move or cancel. It is sent once per booking, and if they move the booking the reminder follows the new date. Fewer no-shows, and the ones who cannot make it tell you the night before instead of not answering the door.

Does GraftG understand British dates?

Yes — dates are always day first (01/09 is the 1st of September), and phrases like "Tuesday 2pm", "tomorrow 9" or "next Thursday morning" work. A date that has already passed rolls forward to the next occurrence. Times are always UK time, including the change between GMT and BST.

How do I get my diary into Google or Apple Calendar?

Settings at app.graftg.co.uk has your private calendar link. In Google Calendar choose Add calendar → From URL and paste it; on iPhone or Mac use the "Add to Apple Calendar" button. The subscribed calendar is read-only, and calendar apps refresh it on their own schedule — Google roughly every 6–24 hours — so a brand-new booking can take a while to appear there. WhatsApp DIARY is always up to the minute.

What happens if I double-book?

GraftG still books it — you know your day best — but warns you immediately: "Heads up: you’ve also got … at 15:30 that day." Back-to-back bookings (one ending 3pm, the next starting 3pm) are not treated as a clash.

Can I book by voice note?

Yes — say it instead of typing it. "Book Mrs Jones in Tuesday at two, boiler service" works as a voice note exactly like a text.

Can a booking become a job?

Yes. On the web calendar, open the booking and choose "Start job from this" — the job clock starts, and materials you text on WhatsApp attach to that job, exactly as if you had texted START JOB. One active job at a time, as usual.

Is the calendar link private?

Yes — it contains a long random token and only shows YOUR diary. Anyone with the link could see your bookings, so if it ever leaks, hit "Regenerate link" in Settings and re-subscribe with the new one.
